New Podio Feature: Introducing “Workflows”

Defining a structure for projects and processes – so that the organization of work is easy and established, rather than a task in itself – that’s what Podio is all about. In 2014, one of our big themes is to help you automate the recurring actions that make up your team’s daily work – your workflows.

Today we’re launching the first step, with Podio “workflows” – a new addition to your Podio apps. Here’s how it works:

With this release, you can now instruct your app to create a task or comment on an item, either when an item is created or when a particular update to an item is made.

Take, for example, time estimation for your client projects. You’ve got a Deliverables app with a duration field to indicate how long each deliverable should take to complete. You can now build a workflow to create a task for your project manager whenever this estimate is changed, so they can approve the time spend.

Should you customize your workflow to have your app create comments after a particular action, the comment is written by you but can use variables (the fields in the app) to enter data. This is done by using the @ symbol and choosing from the options that appear. For example, if the comment you created was:

“A new deadline of @Deadline has been chosen for this deliverable.”

Each time a comment is created it will enter the new deadline in place of @Deadline. This is particularly useful when you’re viewing updates in your activity stream, as you won’t need to go the item to see what the updated deadline is.

Create a Workflow
Choose the Podio app you’d like to add a workflow to, click the settings icon in the app and choose Manage workflows.

We hope that you’ll find Podio workflows a big timesaver in your team. And, that we can eliminate some of the manual tasks that break up your own flow – so you can stay focused and enjoy what you’re working on.
