Podio Gets Personal With Your Outlook and Google Calendars

Today we’re launching an improved Podio calendar, with some very smart new features. Including, two new integrations with Google Calendar and Outlook calendars using Microsoft Exchange.

Historically, calendaring, scheduling and tracking deadlines has been cut off from the real work getting done in a collaborative environment – we’d make meetings and mark events in one place, but set deadlines in separate system. Now, your primary calendar can be tightly connected and in-sync with your work getting done in Podio, offering you one global view of all your ongoing projects and events, that’s customizable and delivered in realtime, so there’s no more double book-keeping.

Your calendar in Podio has also gained a clever new filtering tool. With the relevancy slider you can quickly go from a broad overview of your work to a dedicated view that shows only your meetings and tasks.

And, thanks to Podio’s GoToMeeting integration, all your meetings scheduled using Podio GoToMeeting-enabled apps, will now automatically update your external calendar, once connected.

Here are the deets on the new Podio calendar:

  • Connect with Outlook via Microsoft Exchange and Google Calendar: You can connect your Podio calendar with your primary Outlook Exchange or Google calendar and keep track of all your critical Podio projects, deadlines, meetings and events, including any GoToMeeting details.
  • Customize and Personalize the Podio Calendar: Customizable your viewing options, using our new sliding-bar filter that enables you to quickly toggle between personal and team events or display a custom combination of both.
  • Follow and Sync Workspace-Specific Calendars and Events: You can “follow” or subscribe to apps and app content within workspaces to include them as deadlines and events on your primary external Outlook Exchange or Google calendars.

    Hi Andy, repeat events are shown once the previous event is over – so they are not all created at once.

    i did my ritual of checking the blog and, too my surprise, we had activity. yay! (the stadium crowd in my head was in a roar!!) and then when i saw more connectivity with google, and had to remind myself to breathe and still find a tissue to blot the tear.

    and then i watched the video and i thought “well, okay… lets see.”

    and then i made and event, myself. verified the sync in google. good. then i saw the immediate updates on my android. it was there true MtherFrkin G fashion. sweetness. and then I editted the event. in my google calendar… and waited…. and waited…my assumption was that google integration would sync.so close. soooo close.

    I like this new feature, so I thought I’d share it on Podio in our Employee Network. My eyes automatically looked at the left side of the screen to the share-buttons. But there’s no share button for Podio! That functionality should go on the product backlog, if you ask me.
    Apart from that, great news about the calendar integrations.

    This is great, but has time zone support finally arrived the integration?  Can I set the timezone on the google calendar and it will appear appropriately to workers spread through different timezones?

    I totally agree.  I got all excited there for a minute, until I realized that it’s a one way sync – which I thought we already had before this update.  Podio developers are doing a stellar job with their consistent improvements and releases.  I do hope they don’t stop here with their Calendar development – Podio, please give us 2 way sync!  Until we can update Podio Calendar from our Google Cals, we are still left bouncing around between them to prevent double booking.

    If repeat Calendar events don’t appear until the previous event has passed, we run the risk of booking appointments over those already reserved dates.  Please make this an option, rather than a default setting.

    @facebook-628079251:disqus Upon every attempt to use Podio’s news external Calendar feature – trying to sync with my Google Calendar – I receive an error message from Podio.  I’ve tried 5 separate times with no success.  Could this be due to so many Podio users flooding this app at the same time?  Please let me know what I can do to get this working for us.  Thanks!

    I’ve tried connecting with my Outlook calendar via Microsoft Exchange however I get an error message ‘The operation failed, the message from Exchange was: Multiple results were found.’ I’ve used my Exchange username & password and located the domain via my exchange email account settings, so I’m pretty sure all the info is correct.
    A co-worker has his running fine but mine doesn’t seem to want to come to the party. Has anyone else experienced this and does any one know what I’m doing wrong?

    Won’t integrate with Podio for me, made a google account just to access this feature. I would attach a screenshot of what it does but i can’t in this comment. Basically it says “integration with google account *******@gmail.com complete” followed immediately by “something went wrong” and basically sits there loading forever. Waste of time at the moment.

    I connected finally about an hour ago… Cheers. One issue is that I can’t add a calender on the “employment network” that is standard. Not sure why… I got it to work on the workspace. section..

    Just understood your question a bit better now – I thought you meant you could not add your Employee Network calendar to Google which was confusing as there is no calendar there. But anyway, you’re right there is not an option to add a calendar to the Employee Network right now.

    oh okay. Well, then it might be better to have an option to delete it. I had to add a Staff Employee network, but it doesn’t have the domain feature. Let me know what you come up with! :-) 

    I don’t know how to add the items to the calender, do I add it via google or vial podio. why can’t I see all my stuff on the app (Android) only see my personal calender… but would like to see my staff’s to do’s also… 

    but overall, I love this software great job!!

    Hi John, the iCal option is still available however it is slower as iCal does not update in real time. We’re discussing making a two way sync.

    Not at the moment. Currently this is only a one way push to google from Podio, so things you do in Google won’t be reflected in Podio.

    Okay here’s an issue. I’m set up two calendars. one, for personal section, and one for workspace. But when I add a task, it adds it twice in both calenders (google) because it’s attached to my profile? Why is it doing this? Note, it’s two different calenders, and it’s adding the same info in both calenders?

    Hi Russell, currently this is only a one-way push of your Podio events, tasks, app items etc. to Google. So, no Google events won’t show in Podio.

    Hi Parin, if your timezone is set correctly in Podio then Google will handle the translation to other people’s timezones when they look in their Google Calendar. Does this work for you?

    This means that there are multiple accounts for your username on your Exchange server and we do not know which one to use. We don’t handle this case on the frontend as we were not sure if it would ever happen. Do you know why you might have multiple accounts?

    Hi John,

    iCal functionality has not changed, and it is inherently one-way. The main issue was that Google does not refresh iCal feeds very often (around 8 hours delay).

    We’ll definitely look at expanding the syncing capability.

    Thanks – great update! Is there any way to write to the other fields in the google calendar like the ‘description’ or the ‘where’ field? Maybe I’m the only person that would use this feature but for me it would be really useful – we often put more details of an event in the ‘description’ field.

    Hi Kirsty, the integration only works with the calendar and not tasks. But why would you want to manage tasks with Google when you could use Podio? ;)

    Hi FifeX – if you’re using an event-type app, whichever field you pick as “Agenda” will end up in the description field on Google. We also put the GoToMeetings details in there if you have any.

    The location field will populate the where field.

    Actually if you set a due time for the task then it will not appear as an all day event. Hope this helps.

    The huge problem is, if someone edits the Google Cal version of the event, it will be changed but not reflected in Podio.  This inconsistency in sync will lead to problems.

    The previous way of doing it (iCal) was good because you were protected from this inconsistency by the fact the iCal feed was not editable via Google Cal.

    A nice improvement though!

    The fact that there isnt a two-way sync is probably result to my sales team not converting to Podio. Do you have a indication about when it will be possible?

    Any plans on making it possible to read the e-mails in podio? I dont really understand why that wasn’t the starting point. Its difficult to convince new users to convert to Podio if I cant pull the rug from under their feets.
